Versa Cloud ERP supports that handoff through purchase receipts, inventory records, supplier returns and the related purchasing and billing records. The receipt should reflect the delivery, not simply repeat the purchase order.<\/p>\n<p>For a distributor or manufacturer, the cost of a receiving mistake spreads beyond the dock. Sales may promise stock that never arrived. Production may expect usable components that are damaged. Accounts payable may approve an invoice using an ordered quantity that nobody has checked against the delivery.<\/p>\n<h2>Why the purchase order cannot stand in for the receipt<\/h2>\n<p>The purchase order describes the intended transaction. It does not prove that a carrier delivered every unit or that every delivered unit is usable. A packing slip is another piece of evidence, not a replacement for the receiving team&#39;s count and inspection.<\/p>\n<p>In a hypothetical delivery, 100 units were ordered, 80 arrived and five of those are damaged. Receiving needs to account for three quantities: 75 usable units, five damaged units awaiting disposition and 20 units not delivered. A partial receipt does not mean the undelivered balance has arrived.<\/p>\n<h2>Keep usable stock and unresolved goods distinct<\/h2>\n<p>Count and inspect before treating the delivery as available for fulfillment. Accepted goods can proceed into the warehouse&#39;s normal stocking process. Keep damaged or pending items separate according to the business&#39;s inventory policy while the responsible person decides their disposition.<\/p>\n<p>Where Warehouse Management is enabled, Bin Location records support the put-away handoff. The location should describe where accepted stock was actually placed. That gives the next worker a recorded destination for the accepted goods.<\/p>\n<p>The distinction matters to the next worker. A picker needs both a credible quantity and a location containing usable goods, not a receipt that silently includes stock still under investigation.<\/p>\n<h2>Give purchasing a discrepancy it can act on<\/h2>\n<p>A supplier conversation is easier to resolve when the evidence is specific. The receiving team should pass the affected product, ordered and received quantities, condition, and relevant delivery information to purchasing. The return record carries the agreed response into the outbound warehouse process.<\/p>\n<h2>Carry the exception through to bill review<\/h2>\n<p>Accounts payable needs the actual receipt and the supplier&#39;s response, not only the original order. Review invoiced quantities, prices and extra charges against the order and receiving evidence before approving payment.<\/p>\n<p>Physical acceptance and payment approval are different decisions. Accepting usable goods does not resolve a disputed invoice, and approving an amount does not make damaged stock ready to pick.
