Versa Cloud ERP creates payment applications against the selected invoice items. A full application can clear the balance, while a partial application leaves the unpaid amount available for later collection.

This matters when the money received does not equal one invoice exactly. A customer may combine several invoices, pay only an approved portion or send an amount that needs clarification. The receipt should show what the payment covered instead of making every open balance look settled.

Match the receipt to the customer's instructions

In Invoices → Receive Payment, accounts receivable identifies the customer, receipt amount and date, payment method, reference and receiving account required by the organization's setup. The available-invoice list shows open documents for that customer so the user can select the invoices and amounts to apply.

Before posting, compare the customer's remittance with:

the customer and currency;

invoice numbers and outstanding balances;

the receipt amount and payment reference;

any approved discount, adjustment or deposit application;

the amount that will remain unapplied or outstanding.

Accounts Receivable Full Access is required for receiving payments. Application validation prevents a positive amount from being applied above the invoice's outstanding balance.

Let a partial payment remain partial

A customer sends $1,200 against two invoices: one has $1,000 outstanding and the other has $600 outstanding. The remittance directs the team to clear the first invoice and apply $200 to the second. Accounts receivable applies those amounts accordingly. The second invoice retains a $400 balance for the next collection action.

That remaining balance is useful information. It may be an agreed installment, a short payment or the amount involved in a dispute. The payment record should not decide which explanation applies. The team reviews the remittance and customer communication, then records the appropriate follow-up in its collection process.

Versa Cloud ERP also supports applying one receipt across more than one selected invoice. Conversely, more than one receipt can reduce the same invoice over time. Each payment application preserves the amount applied through that receipt rather than replacing the invoice's original value.

Post the receipt, then verify the open balance

When the receipt is posted, its applications reduce accounts receivable for the applied amounts under the organization's accounting setup. The invoice remains open until its balance reaches zero. Review the resulting payment receipt and invoice balance before telling the customer that the account is settled.

If the payment cannot yet be matched confidently, do not force it onto an invoice merely to remove it from the worklist. Use the organization's approved process for a customer deposit, miscellaneous receipt or investigation, and retain the payment reference needed to complete the match later.

Keep receipt application separate from bank settlement

A posted customer receipt records how Versa Cloud ERP applied the payment to receivables. It is not, by itself, proof that the bank received and cleared the funds.

Receipt batches can group payments intended for a bank deposit. Finance reviews the batch total, deposits it to the appropriate bank account and reconciles the resulting bank activity. A card or electronic payment may follow a different clearing path, but the same control applies: confirm the bank evidence separately from the invoice application.

For a buyer evaluating fit, Versa Cloud ERP provides traceability from the customer receipt to the selected invoice applications and remaining balances. That supports full, combined and partial payments without confusing receipt entry with final bank reconciliation or treating a residual balance as paid.

Ask the Versa Cloud ERP AI Advisor about customer receipts and partial payments

See an online demo.

See how Versa Cloud ERP applies a customer receipt to selected invoices, retains partial balances and separates receipt posting from bank reconciliation.
[17

1270
1275

post-10612","post","type-post","status-publish","format-standard","has-post-thumbnail","category-erp-for-inventory-driven-businesses","howto_business_role-accounts-receivable","howto_workflow-order-to-cash","cs-entry
<!-- This site is optimized with the Yoast SEO plugin v28.7 -
