Keep the receivable visible, but give the collection work a different state and owner. In Versa Cloud ERP, an ordinary overdue invoice can remain in Needs action or move to Waiting with a follow-up date or expected payment. A disputed invoice can be placed On hold with a reason while the responsible team investigates.
The invoice balance and the collection decision remain separate. Putting work on hold does not change what was billed, approve a credit or settle the account. It prevents an unresolved commercial issue from being treated like routine nonpayment.
Identify what the customer is actually saying
A payment delay usually means the customer accepts the invoice but has not paid on time. The useful questions are when payment is expected, whether the customer made a commitment and when the collector should follow up.
A dispute questions the basis of the balance. The customer may challenge the quantity delivered, price, tax, freight, return credit or another part of the transaction. Sending another standard reminder does not resolve that issue. The team first needs to find the operational or commercial record that supports a decision.
| Customer response | Appropriate collection treatment |
|---|---|
| “We will pay next Friday” | Record the expected amount and date, then defer follow-up appropriately |
| No response to an overdue invoice | Keep it in Needs action, assign an owner and use the approved contact process |
| “The shipment was short” | Put collection work on hold and route the delivery question to the responsible team |
| “The return credit is missing” | Hold routine reminders while finance checks the RMA, receipt and related credit |
Preserve the overdue invoice while the dispute is reviewed
Cash Collection overlays collection metadata on the live overdue invoice. The On hold state and hold reason explain why routine follow-up has paused, while the invoice remains visible in All overdue and in the dedicated On hold view.
An invoice for $4,500 is ten days overdue. The customer says two cartons were not delivered and will pay after the discrepancy is resolved. The collector records the work as On hold with a concise reason, then routes the delivery question to customer service or fulfillment. The $4,500 does not disappear from receivables merely because collection contact paused.
This separation protects both sides of the process. Collections can avoid sending a conflicting reminder, and finance can retain the original balance until evidence supports a correction. If the investigation shows that the invoice is right, the item can return to active follow-up. If a credit is approved, finance records that result through the applicable invoice or return workflow.
Do not use a hold as the resolution record
A Cash Collection hold is a work-control record, not a complete dispute case. The hold reason should be specific enough for the next reviewer, but supporting shipment, return, pricing or communication evidence belongs in the appropriate customer and transaction records under the company's process.
The system also excludes on-hold work from ordinary reminder eligibility. That reduces the chance of preparing a routine reminder while another team is working on the issue. It does not decide whether the customer's claim is valid or automatically notify every operational owner.
For a return-related disagreement, keep the physical and financial evidence connected. The customer return and credit workflow explains how the original sale, accepted return receipt and related credit support that decision.
Give every open balance a defensible next action
The goal is not to label difficult accounts. It is to distinguish two different jobs: collecting an accepted balance and resolving the reason a balance is contested.
For a buyer, Versa Cloud ERP supports that distinction by keeping the financial balance live while the collection workspace records Needs action, Waiting or On hold treatment. The team retains responsibility for the investigation, customer communication and any approved financial correction.
