Before warehouse work starts, the team needs a clear customer order, the correct destination, a quantity it can fulfill and any conditions affecting release. An order that looks complete on a sales screen can still create a poor warehouse task. The delivery address may have changed, part of the stock may be needed elsewhere, or the customer may require one complete delivery rather than several packages. Finding those issues after picking creates rework and delays the orders that could have moved cleanly.
Give the warehouse an executable commitment
The order describes what the customer expects. Before release, sales or the fulfillment coordinator confirms the destination, requested items, agreed quantity, shipping requirements and applicable payment or hold conditions.
That review is a business handoff supported by the order records. It gives the warehouse a specific task and identifies the person responsible when the commercial instruction is unclear. A picker should not have to decide whether an incomplete delivery is acceptable to the customer.
Versa Cloud ERP's open-sales-order shipping workflow provides access to outstanding order quantities and the next allocation or shipping actions. The configured fulfillment path determines whether the team uses picklists or creates shipments directly from the order.
Look at allocation, not just the total balance
A quantity owned by the company may already be committed to another order or held at another facility. Allocation connects inventory to the demand being fulfilled, giving the warehouse a more useful starting point than a company-wide on-hand number.
For a hypothetical order of 30 units, the intended facility has 50 on hand but 35 are committed elsewhere. The balance alone suggests enough stock; only 15 remain before considering other restrictions. The coordinator needs to resolve supply or agree a partial delivery before passing the job to picking.
The same review should preserve measurement units. An order for cases and stock handled as individual units need a consistent quantity interpretation throughout fulfillment.
Settle the questions that would interrupt picking

Versa Cloud ERP also provides a Ship Only Allocated Orders setting that limits the order items offered for shipping to items with allocated quantity. The team still reviews the quantities on the specific shipment; the setting does not mean every line on a whole order is fully allocated.
This control helps align shipping work with recorded allocation while leaving commercial release decisions with the people authorized to make them.
Pass exceptions back before they become warehouse rework
If the order cannot proceed as intended, give the issue a specific response: obtain stock, use another supply route, revise the commitment or wait for a release decision. Sales can communicate that outcome before the warehouse spends time preparing an unsuitable shipment.
