How do Bin Location records help teams find and correct misplaced stock?

Bin Location records give a warehouse a second, more precise question than “How many do we own?” They show where the stock is expected to be inside the active facility. Versa Cloud ERP can compare recorded Bin Location quantities with inventory on hand, show discrepancies and record a Bin Location quantity correction after the warehouse verifies the physical location.

This distinction is useful when total inventory is plausible but a picker cannot find it. The product may be in the wrong bin, split across two locations or recorded in a location that no longer contains it. Increasing total inventory would be the wrong correction if the units already exist and only their location record is wrong.

Use the discrepancy view to narrow the search

The Bin Location Inventory Discrepancies view compares total quantity in Bin Locations with quantity on hand while also showing quantities on pending shipments and quantities already picked. It lists the recorded locations and the difference that needs review.

That comparison helps the warehouse separate three situations:

  • Total inventory and Bin Location quantities agree, but the physical shelf does not. Recount the relevant locations and review recent location activity.
  • Total inventory is correct, but the Bin Location total is short or high. Correct the location record after finding where the stock actually sits.
  • Total inventory itself is wrong. Investigate the inventory transactions and use the inventory-adjustment process rather than treating a location correction as new stock.

The view can also produce an adjustment template for review and later upload through Bin Location Transactions. When a product has only one recorded location, the template can identify it. When several locations are possible, a reviewer must choose the location rather than letting the system guess.

Count the real shelf before changing the record

In Bin Location Quantity Transactions/Adjustments, the user selects the product, Bin Location and measurement unit, then records the total quantity in that location. Lot and serial information can also be captured where applicable. The transaction history retains the resulting location movement or adjustment.

Inventory on hand is 30 units. Bin A records 20 and Bin B records 10, but the physical count finds 15 in each. Total stock still equals 30. The corrective action is to update the location records so the next pick points to the right shelves, not to post five more units into total inventory.

If a product is being moved away from a location, the workflow supports removing its old Bin Location reference as part of the correction. Record the destination and count that the team actually verified.

Understand what automatic reconciliation can and cannot establish

Warehouse Management includes an optional setting named Auto. Adjust Bin Location Counts Based On Inventory. A nightly job can reconcile Bin Location counts to recorded quantity on hand and distribute quantities proportionally when several locations exist.

That is a record-reconciliation option, not a physical count. It cannot determine which shelf holds misplaced units. Teams that need location accuracy should still investigate the warehouse, recent stocking, picking and movement transactions before relying on the resulting locations.

Evaluate two connected controls

For a buyer, Bin Location control is most useful when it works alongside, but remains distinct from, total inventory control. Versa Cloud ERP provides a discrepancy view, location-level counts and transaction history for the warehouse question, plus a separate inventory-adjustment process when quantity on hand itself is wrong.

That separation helps a team correct the record that actually failed. A location error changes where workers look and pick. An inventory error changes what the business believes it owns. The system supports both without requiring one correction to stand in for the other.
