How do teams investigate a difference between recorded inventory and the physical count?

Start by treating the difference as a question, not an instruction to overwrite the number. In Versa Cloud ERP, a team can compare a physical count with the recorded quantity, inspect the transactions that could explain the gap and post an Inventory Item Adjustment only after deciding that the system balance needs correction.

That sequence matters because the same difference can have very different causes. A receipt may have been counted on the shelf but not posted. A shipment or transfer may still be in progress. The count may use a different unit from the inventory record. Correcting the balance before finding that cause can hide an unfinished transaction and make the next investigation harder.

Establish exactly what was counted

Define the product, facility and measurement unit before comparing numbers. For lot- or serial-tracked products, include the applicable identifier. A count of 12 cases is not directly comparable with a record expressed as 144 each unless the conversion and the counting method are understood.

Versa Cloud ERP provides a Physical Inventory Worksheet for the active facility and product inventory records. Use those records as the starting point for a controlled count. The count itself still needs a warehouse procedure: identify the area, avoid double-counting stock in motion and record who counted and when.

Investigate the movement behind the difference

Review the product's inventory transaction history around the count date. The history can show transaction dates, facilities, units, quantity changes and descriptions tied to inventory activity. Depending on the product and workflow, the explanation may involve a receipt, shipment, transfer or earlier adjustment.

A practical investigation asks:

Check Decision it supports
Unposted or recently posted receipts Whether counted stock has reached the inventory record
Shipments, picks or transfers in progress Whether stock was physically moved before its transaction was completed
Facility and measurement unit Whether the comparison covers the same place and quantity basis
Lot or serial identifier Whether the difference belongs to a specific tracked batch or unit
Earlier adjustments and notes Whether a prior correction already addressed part of the issue

Consider a count where the system shows 50 units and the shelf holds 46. If four units are on a transfer shipment that has left the source but has not yet been received at the destination, the right response is to verify the transfer records. Posting an unexplained negative adjustment at the destination would not complete that transfer and could create another discrepancy.

Post a controlled correction when the record is wrong

When the investigation confirms that the recorded balance should change, the Inventory Item Adjustment workflow identifies the product, facility, unit and adjustment quantity. It also requires an adjustment reason and supports notes. For lot- or serial-tracked products, the relevant identifier is part of the adjustment path.

The screen shows the current quantity on hand and the result after the proposed positive or negative change. Posting the adjustment changes inventory and records the variance in adjustment history. Where general-ledger posting applies, the adjustment is also associated with the inventory-value accounting entry.

Choose a reason that describes the approved business explanation, and use the note to retain the specific evidence needed by the next reviewer. “Count correction” without context is less useful than a note that identifies the count, location and investigation outcome.

Keep the cause visible after the number agrees

A posted adjustment closes the numerical difference, but recurring variances still need attention. Review adjustment history by product, facility, reason and user to identify patterns such as receiving delays, unit confusion or location discipline problems. The next action may be a process change rather than another adjustment.

For a buyer evaluating fit, the important capability is the controlled path from physical evidence to transaction review to an explained correction. Versa Cloud ERP provides the worksheet, movement history, reasoned adjustment and accounting relationship needed for that path while leaving the approval and root-cause decision with the team.
