A payment batch turns reviewed supplier-payment plans into a draft set of disbursements that finance can inspect before posting. In Versa Cloud ERP, a confirmed AP cash forecast can prepare a Payment Disbursement Batch with the selected forecast weeks, cash account, payment method, payment date and reference number.

The result is still a draft. Accounts payable reviews the included suppliers, bills and amounts before posting the batch. This creates a control point between deciding what should be paid and recording that payment as completed.

Prepare from a confirmed plan

Payment preparation starts from a confirmed AP cash forecast. The user chooses a starting week and can include scheduled payments through a later forecast week. The screen shows planned, already prepared and remaining amounts for the selected range.

Finance then supplies the execution details:

  • cash account;
  • payment method;
  • payment date;
  • reference number;
  • discount treatment, when applicable.

If later forecast weeks are included, their bills use the selected payment date. That may create an early-payment variance in the forecast, so the timing needs deliberate review rather than a blanket selection.

Recheck bills when the batch is created

Versa Cloud ERP does not copy the forecast blindly. Payment-batch preparation checks that a bill is still posted, open, not voided and belongs to the same firm and entity. It also checks the cash-account currency and whether the bill is already in another unposted payment batch.

If a bill's open balance has fallen below the remaining planned amount, the prepared amount is capped at the current open balance. A bill already reserved in another draft batch is skipped and identified for review. These controls reduce duplicate or stale preparation, but the user still reviews the batch.

A confirmed plan contains three bills for $5,000, $3,200 and $1,800. Before preparation, a $700 credit reduces the second bill to $2,500. The draft batch uses the current $2,500 open balance rather than the older $3,200 planned amount and reports the change. Finance can then verify why the balance changed before posting.

Review the draft batch before posting

The prepared Payment Disbursement Batch opens in the normal accounts-payable workflow. Review the reference, cash account, payment type, payment date, supplier selections, bill amounts and discounts. Correct an unexpected supplier, amount, currency or duplicate before proceeding.

The batch also preserves links back to the applicable AP cash schedules. This allows later payment reconciliation to compare what was planned, prepared and actually posted.

Preparing the batch does not:

  • post supplier payments;
  • transmit a bank file by itself;
  • prove that the bank accepted or cleared the payment;
  • resolve a disputed or unsupported bill.

Those later outcomes follow the configured payment-disbursement and banking process.

Keep planning, posting and bank evidence distinct

When the batch is posted, Versa Cloud ERP records the payment disbursements and requests reconciliation of the linked AP forecast. Finance still compares payment records with actual bank activity. A rejected, cancelled or uncleared payment should remain an exception rather than being treated as completed cash outflow.

For a buyer, the value of payment batches is the reviewable handoff. Versa Cloud ERP connects a confirmed weekly plan to current bill balances and a draft batch, then leaves a clear approval point before accounting records and bank activity are treated as complete.
