How should teams keep disputed bills separate from amounts approved for payment?

Resolve the dispute before payment preparation, or remove the bill's planned payments from the active forecast while the issue is investigated. In Versa Cloud ERP, finance can defer a bill in a draft AP cash forecast, record a reason and follow-up date, and retain notes without changing the underlying payable balance.

This keeps two decisions distinct: whether the supplier's claim is valid and whether an approved amount is ready for payment. A planning status should not be used to make an unsupported bill look resolved.

Route the disagreement to the evidence owner

Start by identifying what is disputed:

Dispute Evidence to review
Quantity Purchase order and accepted receipt or service completion
Price or discount Purchase terms, supplier confirmation and bill lines
Freight, duty or tax Approved charge terms and applicable receipt or tax records
Duplicate bill Supplier invoice reference and existing payable records
Missing credit Supplier credit and the bill balance it should reduce

Accounts payable should send a receiving difference to receiving, a price difference to purchasing and a service-completion question to the requester under the company's approval process. The supplier bill review guide explains that upstream comparison in more detail.

Remove the amount from the active plan without erasing the bill

If the disputed bill appears in a draft AP cash forecast, Defer payment removes its active planned schedules and requires a follow-up date after the forecast horizon. The reviewer can record a reason such as “awaiting corrected quantity invoice” and save additional notes.

A supplier bill shows $9,600, but the receipt supports only $8,400. Finance does not schedule the unsupported $1,200 merely because the full bill is due. The team defers the bill while purchasing and the supplier resolve the difference. The $9,600 payable remains visible; the forecast records that no active payment is planned during the current horizon.

Deferring a bill does not automatically schedule another obligation in its place. If finance wants to change the week's planning target, that is a separate decision. When the dispute is resolved, the bill can be restored to the plan and scheduled from the current open balance.

Keep disputed amounts out of draft payment batches

Payment-batch preparation draws from active schedules in a confirmed forecast. A deferred line has no active planned payment to prepare. That keeps it separate from the reviewed amounts moving toward disbursement.

Before a forecast is confirmed, review bills marked for attention, the deferred list, reasons and notes. After confirmation, the planning baseline is immutable; create a revision if the approved plan must change. Do not bypass that control by editing a payment batch to include a bill whose underlying dispute is unresolved.

Understand what the planning record does not replace

AP Cash Planning is not a dedicated supplier-dispute case system. A defer reason explains the payment decision, but the supporting communication and transaction evidence still belong with the supplier, purchase, receipt and bill records used by the organization.

Deferral also does not void a bill, issue a supplier credit or reduce accounts payable. Those financial changes require their own approved records. Payment preparation and bank reconciliation remain later steps after the supported amount is known.

For a buyer evaluating fit, Versa Cloud ERP provides a controlled way to keep unresolved supplier bills visible but outside the active payment plan. Finance can retain a reason, follow-up date and review trail while protecting approved payment batches from disputed amounts.
