What should accounts payable review when deciding which supplier bills to pay this week?

Review approved open bills alongside due dates, supplier commitments, planned amounts and the week's cash position before deciding what to pay, split or defer. Versa Cloud ERP's AP Cash Planning workspace brings those obligations into a weekly plan while leaving payment policy and supplier judgment with the finance team.

That separation matters because the largest or oldest bill is not always the only operational priority. A smaller bill may belong to a supplier needed for tomorrow's production, while a larger bill may be under an agreed payment schedule. A proposed plan helps organize those choices; it does not decide them automatically.

Start with bills that are ready for a payment decision

AP Cash Planning draws candidate obligations from open supplier bills due within the forecast horizon. Before relying on the plan, accounts payable should confirm that each bill has passed the organization's bill-review process and is supported by the applicable purchase order, receipt or service evidence.

If quantity, price, tax or delivery evidence is disputed, resolve or clearly separate that exception before payment preparation. The supplier bill review guide covers the earlier order, receipt and invoice check.

Read the plan as a set of decisions

Each forecast line can show the supplier, bill number, bill and due dates, payment terms, open amount, priority, planned payment timing and execution status. Filters help the team focus on a payment week, due-date range, amount range or selected suppliers.

Review point Decision it supports
Due date and terms Whether waiting creates a late payment or lost discount under company policy
Open balance Whether the amount changed after a credit, earlier payment or correction
Critical-supplier designation Whether an operational dependency deserves closer attention
Planned payment amount and week Whether the proposal fits the intended timing and amount
Cash impact Whether the reviewed plan fits the finance team's available-cash decision
Notes and exceptions Why a bill was changed, split or deferred

The system's initial priorities are transparent. Critical suppliers can be treated as must-pay, while other due or overdue bills are ordered by rule. This is not a prediction of supplier behavior and not an optimization guarantee.

Adjust the schedule without hiding the obligation

A $24,000 bill is due this week, but the approved arrangement calls for $12,000 this week and $12,000 next week. The finance reviewer can replace the suggested payment or split the bill across forecast weeks. The open bill remains one payable, while the plan records the intended timing.

The team can also add a missing open bill, add a planned payment, remove a suggested payment, defer a bill beyond the forecast horizon or restore a deferred item. These are explicit edits to a draft. Deferring one bill does not automatically fill the gap with another, and changing the weekly target does not silently rewrite the plan until the schedule is regenerated.

Confirm only the plan the team has reviewed

Once the bill-level decisions and weekly totals are acceptable, confirm the forecast. A confirmed forecast becomes the controlled planning baseline. Later planning changes require a draft revision rather than silently altering the confirmed view.

Confirmation still does not send money. It allows the team to prepare payments from the reviewed schedules, after which the payment batch has its own review and posting steps.

For a buyer evaluating fit, Versa Cloud ERP provides a traceable weekly path from open supplier bills to reviewed timing and amounts. It supports due-date, supplier-priority and cash-impact decisions without pretending that software alone knows which supplier relationship the business should prioritize.
