Is Your Business Ready for AI in ERP? 6 Things to Check First

A purchasing manager gets a call on Monday morning. The supplier says the shipment is late. Now she has to decide what to reorder, and she has maybe twenty minutes. Stock counts are in one report, open purchase orders in another, last week’s sales in a third. She opens all three, does the math by hand, and goes with what feels right.

It is easy to believe AI will solve this issue, and it can help. AI is able to identify some patterns and propose some steps to take. However, it can only deal with data it receives. If there is something wrong with the data or no clear understanding of how ordering works, all the company has created is a quick way to make the same mistake.

Thus, the correct question is: is your company ready for this? Below is a list of six issues to check.

Can you trust your records?

Start with the boring stuff. That’s where most problems hide.

  • Do stock numbers match across warehouses and sales channels? One wrong count is wrong everywhere it gets used.
  • Are open purchase orders, supplier lead times, and incoming deliveries current? A lead time that changed two months ago will have you ordering too late.
  • Are product records, costs, and sales transactions complete? One missing cost and your margins are quietly off.
  • Does your team know where the gaps are? You don’t need perfect data, just an honest list of what you can’t trust yet.

Picture a system telling you to restock a product. But a shipment arrived yesterday and nobody recorded it, so you’re about to buy what’s already on your shelf.

This is one place Versa Cloud ERP helps. It keeps inventory, purchasing, sales, and financial information together, so people (and AI systems that work with them) have one set of records to read.

Can your systems share what they know?

Many expanding companies work with systems that don’t communicate with each other. Orders come in from the online shop, stock is in the warehouse system, and books are in a totally different system. One employee keeps everything together with a spreadsheet.

Do online sales reach inventory and accounting without anyone retyping them? Can purchasing see stock, open orders, and supplier details in one view? Does anyone spend part of the week gluing exported reports together? Do two teams ever argue over whose number is right?

Say sales accepts a big order while purchasing plans from last week’s inventory report. No AI tool sorts that out if the information it gets is already split up.

That’s why the connected operations are important. Versa Cloud ERP creates a link between inventory, sales and order management, procurement, warehouse activity and finance. According to the product description, the platform also supports eCommerce integration and open APIs that allow the flow of information to and from your other solutions.

Does everyone follow the same process?

You can’t hand a process to a system if nobody can say how it works. Try a quick test. Ask two people on your purchasing team what they do when an item runs low. If the answers don’t match, that’s your first job, well before any AI.

A few more things to check:

  • Are reorder decisions based on written rules, or on whoever’s on shift? Gut feel works until that person is on leave.
  • Are procedures written down anywhere? If they live in one person’s head, they’re hard to automate.
  • Where is the same manual work repeated, or handed off for no good reason? Start cleaning up there.

This is where Versa’s approach comes in. Versa AI OpsEngine turns standard operating procedures into structured Playbooks that guide Digital Workers. Going by Versa’s product materials, a Playbook defines the event, looks at the business information, applies policies, and decides what action fits. It’s only as clear as the procedure you feed it.

Is there enough context around the numbers?

One number almost never tells the full story. Say a product’s sales jumped last week. Easy call, order more. Except maybe it was one huge order from a single customer that won’t repeat. Or maybe demand really did shift. Those lead to opposite decisions.

To tell the difference, people need more than a single figure:

  • Current demand next to past sales. It shows whether last week was normal or a spike.
  • Supplier delivery patterns and lead times. A supplier who’s always three days late changes when you should order.
  • Stock movements, open orders, and purchasing history. These show what’s already on its way.
  • Seasonal swings and one-off orders. Without them, a busy month looks like a trend.

You don’t need years of history for everything. A simple reorder check needs a lot less than a yearly forecast.

The information around Versa’s AI OpsEngine highlights how digital workers function using company data along with the operational environment, policies, and priorities. The aim is to truly understand the situation as an employee would do rather than as a calculator would respond.

Have you decided what AI can recommend, change, or approve?

This is the one companies skip, and it decides whether people trust the whole thing. Decide where AI’s job starts and ends before it touches a real process.

  • What can it help decide? Be specific about which decisions it supports.
  • What can it prepare by itself? Drafting a purchase order and sending one are very different things.
  • What needs a person’s sign-off? Name those actions up front.
  • What happens when data conflicts or a suggestion breaks policy? Have an answer before it happens.
  • How will people review what was done? They should see what happened and why.

Assuming the system recognizes that an item is low on stock and creates a requisition for purchasing, you can still give it the green signal for processing the purchase order but wish for it to pass through your purchasing manager first.

The Digital Workers created by Versa undergo systematic training so that they become accustomed to carrying out operations according to the authorized instructions, rules, and regulations. In certain situations, people may be involved in approving decisions depending on how the system is designed. Being prepared for the introduction of AI means adopting a responsible approach to its implementation.

Are your people ready?

Having clean data and neat procedures still does not guarantee the popularity of the tool among its users. The personnel, who are performing the work on a daily basis, need to realize the purpose of the tool and be able to confront it when necessary.

Is your team aware of the problem AI is supposed to solve? Would they feel okay stating that some suggestions do not seem accurate? Would they know how to cope with the cases when the system encounters the problem it cannot solve?

Start from the simplest things. A distributor might take the first steps with the items in inventory that require attention, compare the outcome with the standard procedures and only after that act on a larger scale.

Versa defines Digital Workers as assistants to the employees, not replacements for the decision makers, and they put an emphasis on the fact that human control is essential in their messaging.

What if you’re not ready yet?

Probably not completely. Most businesses aren’t, and that’s fine. You don’t have to fix everything first, just find a place to start. Using inventory replenishment as the example:

  1. Correct the information that sits behind critical choices. First, look at the stock levels and the lead times from suppliers.
  2. Identify areas that don’t appear to be joined at the seams, often the ones where people copy numbers from one tool to the other.
  3. Document a single repeatable step, for example, how to buy back a certain group of products.
  4. Decide on what and why some employees must approve certain processes and what should happen if there is no approval.
  5. Choose a manageable plan to implement thoroughly.
  6. Keep an eye on the outcome of the process.

In order to explore AI, you don’t have to have every problem solved. However, what you do need to do is to be honest about where your current processes aren’t able to meet your needs, and select an appropriate point to start based on your needs, your processes, and your risk tolerance.

Prepare your operations before scaling AI

Thus, we have the following in the list: trustworthy information, integrated systems, orderly processes, sufficient background information, clear instructions where people remain in control, and a team that is willing to go along with that. Even though it does not seem particularly attractive, it is important to create the list no matter whether you introduce any AI features or not.
